Summary of Responsibilities:
- Allocating Personal Care Assistants with the appropriate skills, experience, and compatibility to ensure the delivery of high-quality, person-centred care to each Service User.
- Scheduling and organising Personal Care Assistants’ rotas efficiently to minimise missed calls, reduce travel time between Service Users’ homes, and promote continuity of care.
- Monitoring care calls daily through the electronic rostering and monitoring system to ensure staff compliance with the Company’s P163 Minimum Expected Stay Policy and addressing any non-compliance promptly.
- Investigating short-duration calls, reviewing care notes and Finance Notes, and escalating concerns to management in accordance with Company policies and procedures.
- Responding promptly and effectively to day-to-day changes in care and support packages, including emergencies, staff sickness, hospital admissions/discharges, and last-minute amendments.
- Coordinating, planning, and managing adequate staff cover at all times and ensuring that all rota changes are accurately reflected on the rostering system as soon as practicably possible.
- Maintaining effective communication with Service Users, relatives, Personal Care Assistants, healthcare professionals, local authorities, and other stakeholders involved in the delivery of care.
- Ensuring accurate record-keeping and maintaining up-to-date information within the Company’s care management and rostering systems.
- Supporting the Registered Manager and management team in maintaining compliance with CQC regulations, Company policies, safeguarding procedures, and contractual requirements.
- Assisting with the monitoring of staff punctuality, attendance, performance, and service delivery standards.
- Handling incoming telephone calls, responding to queries professionally, and resolving operational issues in a timely and courteous manner.
- Providing exceptional customer service to Personal Care Assistants, Service Users, family members, and external professionals at all times.
- Participating in the on-call rota where required to support continuity and responsiveness of service delivery outside normal office hours.
- Promoting Chelmscare’s values of dignity, respect, compassion, professionalism, and person-centred care in all aspects of the role.
