Operations Coordinator

Reports to Director

Employment: Full-time 

Location: Office-based in Melton

Hours: 40 hours per week

Salary: £15 per hour

We’re looking for someone who can think, not just process.

Someone organised, curious and practical. Someone who enjoys solving problems, takes ownership and is comfortable when the answer isn't immediately obvious.

As our Operations Coordinator, you'll be at the heart of the day-to-day operation of Sarah’s Carers. One minute you might be checking training compliance, the next helping solve a scheduling problem, dealing with an incoming call, working with data or making sure an important action hasn't been missed.

This is a varied role with the opportunity to learn, take on responsibility and make a real difference to how the business operates.

You don't need to come from the care sector. How you think, learn and approach problems matters just as much as your previous experience.

What you’ll be doing

Training & Compliance

  • Monitor care team training and identify upcoming renewals.

  • Schedule training and keep records accurate and up to date.

  • Follow up with carers to make sure required training is completed.

  • Identify gaps or inconsistencies and take action before they become a problem.

  • Escalate important compliance issues when necessary.

Calls & Communication

  • Answer incoming calls from clients, families, carers and professionals.

  • Resolve straightforward enquiries and make sure others reach the right person.

  • Take accurate messages and ownership of follow-up actions.

  • Communicate clearly, professionally and confidently.

Scheduling & Operations

As you develop in the role, you may also support care scheduling, including:

  • Helping maintain care schedules and responding to changes.

  • Communicating schedules and changes to carers.

  • Identifying gaps, conflicts or potential problems.

  • Helping the team find practical solutions while maintaining continuity of care.

Finance Administration

  • Support routine invoicing, payroll and finance administration.

  • Check information and data for accuracy and completeness.

  • Process and reconcile records and expenses.

  • Identify discrepancies and help resolve them.

Systems & Team Support

  • Monitor incoming Teamwork Desk requests and allocate them appropriately.

  • Follow up on outstanding actions and make sure nothing gets lost.

  • Maintain accurate records and operational information.

  • Work across our different systems to find and update information.

  • Support the wider team with day-to-day operational tasks.

  • Look for opportunities to make processes simpler and better.

The Person We're Looking For

You don't need to know everything from day one. We're looking for someone who can learn quickly, think clearly and use good judgement.

You'll be:

Most importantly, if something doesn't look right, you'll notice it and do something about it.

What you will bring

Essential

  • Confident using Google Workspace, particularly Gmail, Google Docs, Google Sheets and Google Drive.

  • Comfortable working with spreadsheets and data, including sorting, filtering, checking and manipulating information.

  • Confident learning and navigating different IT systems and software platforms.

  • Good general digital skills and the ability to work things out when using unfamiliar technology.

  • Strong written and verbal communication skills.

  • Good attention to detail and the ability to identify errors, gaps or information that doesn't make sense.

  • Ability to organise and prioritise your own workload.

  • Comfortable handling confidential and sensitive information appropriately.

Useful, But Not Essential

Experience in any of the following would be helpful, but isn't essential:

  • Scheduling or rostering.

  • Finance administration, invoicing or payroll.

  • Training or compliance administration.

  • CRM, ticketing or workflow systems.

  • Healthcare, social care or another regulated environment.

  • Using data to produce simple reports or identify trends.

What Success Looks Like

You'll know you're doing a great job when training is completed before it becomes overdue, information is accurate, calls and requests reach the right people, actions don't get forgotten and problems are spotted early.

Over time, you'll become someone the wider team trusts to understand what's happening, solve problems and keep things moving.
